What is EZcomply?

A sophisticated software suite configured to each client.  It ensures tasks are issued automatically, done when they should be, in a timely manner, and to your exacting standards. 

This allows you to redeploy staff to other tasks, increasing output, reducing administration, and of course by default, cut costs!

What does EZcomply do?

EZcomply keeps all your FM tasks scheduled, with all relevant instructions, and as much user input as you want.  Then, for organisations that wish, work instructions can be issued, and data automatically collected through the use of handheld devices using our mobile application.  The mobile app issues employees with their planned and reactive jobs for any set period, typically day to day, and of course longer periods – all automatically.

Using the handheld device, the user scans NFC tags previously installed at set geographic points or on assets as they go about their work, to prove they have attended.  No more paperwork to issue on a daily basis, no more forgetting to fill it out, no more chance of forgetting to service a critical item.  Data is collected, and stored for retrieval as and when required.  This can also serve as critically important evidence in the event of any challenges.

Examples of NFC points that could be scanned to prove attendance:

+ MCP weekly checks by a Maintenance team.
+ Daily Housekeeping tours at multiple times through out the day.
+ Security patrols in the middle of the night.
+ Boiler service yearly by Contractor.
+ Any Reactive task, such as a spillage, defective lighting, a sticking fire door, all with the ability to add photos of before and after.

The mobile app encourages good behaviour, a virtual “supervisor in a pocket”.

We have been desigining and developing market leading Saas CAFM systems for a very long time, and we’re extremely good at it, and at listening to our clients needs.  In fact, our principals were the first to deliver web based CAFM to the global market back in the early 2000’s, and have worked very closely with many of the leading property and facilities management companies throughout the UK – along with lots of much smaller, but nevertheless just as important, facilities services clients.

CAFM and SaaS - what does this all mean?

Computer Aided Facilities Management, supplied in the form of  Software as a Service.  Software that helps to keep your service compliant and organised.

What is NFC?

Near Field Communication, electronic communication, of 4cm or less between two devices.  For example, a mobile phone and an NFC tag.

What is an NFC Tag?

A small inexpensive non powered electronic tag placed on equipment, assets, locations.  Chances are you’ll have a version of some of these in your own home already – on high value products, tucked inside packaging, for example in food packaging in your fridge.

So this is a software programme?

It doesn’t just stop at the software.  We provide unique CAFM Software, designed by us, and support for such.  Think of our solution as the software you need with the human help you desire.  And we are continuous, no hopping system every few years as new FM service suppliers come and go.  Our clients love us, we are in their FM blood!  And the majority have been with us through many changes in FM suppliers.  A little bit of stability in a constantly changing environment.

Do I need lots of Hardware?

Chances are you’ll already have a computer and WiFi.  All you then need is a mobile device for the employee (this is typically shared between users), and as many NFC tags as you require.

Is this Big Brother for FM?

We make no apologies for saying yes.  

How do you really know an employee has been to where they are meant to be at the time they were meant to be there?  Did those fire doors get unlocked at the start of the shift?  Other than sending a supervisor out with them everywhere they go, (and a supervisor for the supervisor, and so on….!).

Our clients have in the past discovered this type of behaviour, our solution can stop that.

You review the data when you need to, wherever you want to – in the office, working from home, or on the golf course!  Say goodbye to a forest of paper to review.

What does using the system on a day to day basis look like?

When using mobile devices, all jobs are sent automatically to the device.  As the vast majority of jobs are largely the same on a day to day, week to week, month to month, year to year basis, these will have already been set up on your dedicated client portal of EZcomply.

The operative goes to the job, scans a tag to start the work, does the work, scans to finish. This data is sent to the cloud, for you to review if and when required.

FESTIVAL PLACE SHOPPING CENTRE - a client since 2013

One of the busiest shopping centres in the UK, the Centre’s challenging requirement was to manage a large team of mobile security, housekeeping and M&E operatives, and to do so without the laborious repetitive requirement of issuing planned and reactive tasks manually. But also to ensure those tasks were undertaken at, and within the specified timeframes required.

EZcomply manage 40 mobile devices which the Festival Place team use on a daily basis. These capture all activities and provide vital performance and compliance information, all uploaded – on the go – to their branded EZcomply cloud and back down again to all levels of user on their PCs to asses and manage real time activity.

Festival Place are so impressed with the simplicity of the solution EZcomply provides, that successive FM providers have chosen to retain our system over their own in-house software, multiple times.

YMCA FAIRTHORNE GROUP - a client for over a decade

Our highly successful relationship started right at the beginning of the EZcomply journey, with YMCAFG being our testing partner for new releases of the developmental software.

Currently, EZcomply is principally used to manage the FM side of their operation.  There are over 30 properties to look after – no mean feat – and what would otherwise be a substantially complex business to manage effectively, is streamlined and made much easier to monitor. And to hit those vital KPIs!

Managers of the individual properties typically use the web app to log tasks which are then assigned by a central co-ordinator; and those tasks are delivered electronically to the M&E team on their mobile devices, KPIs being automatically set to YMCAFG’s own standards and priorities.

FARNBOROUGH BUSINESS PARK - since 2010

The FBP security team needed an easy-to-use system to deliver and capture tour data, and to also log reactive jobs for the externally managed maintenance team (to prove they had been reported). Three mobile devices are in use at this client’s site.  Once again, there have been a number of changes to the outsourced Security services provider at FBP, but EZcomply easy has remained a constant throughout.

  • Sandra arrives for work, and logs onto a mobile device.
  • She checks her jobs on a device for the shift and starts her rounds.
  • There’s been a spillage that a Hardip the Security Officer has reported on their mobile device.
  • Sandra gets the notification and attends.
  • Sandra finishes her shift, logs off and returns the device.

  • Steve’s working away today, but wants to see how his team are progressing.
  • He logs on remotely to his PC or tablet.
  • He can see that Sandra is mid shift and she is on time with all her duties, but one.
  • However, Sandra has added a note to say she got called away to a reactive.

  • Hardip, like Sandra, has logged on for their shift and collected a mobile device.
  • They are conducting their normal rounds, including today an audit of any defective lights, and trip hazards.

  • Dan already has a mobile device as he is sometimes needed out of hours, so uses it as a regular mobile phone.
  • Dan starts his shift and logs onto the mobile app on his phone.
  • Dan starts his work today which is mainly HVAC servicing.  During the work he notes spare parts are required, and so he adds a note to CAFM easy app and delays completion of the service.
  • He gets a notification about the paving slab Hardip has reported and attends.
  • Shift ends.

  • Vicky is mainly office based.
  • Vicky was off yesterday, and so is reviewing yesterday’s work and notes one of Dan’s task is delayed, reads the reason, and orders parts, and adds a note to the task.
